The individual selected for this position will support the sponsors whom seeks a responsive, resourceful, and efficient individual to provide System Integration support, including but not limited to Secretarial and administration for the franchise exchange meeting. Specifically, we are looking for someone with strong communication, interpersonal and tracking and monitoring skills.

The system integrator is responsible for assisting the sponsor’s front office in documenting, tracking, and scheduling agenda items for franchise meetings, and creating and publishing the meeting minutes and action items.  Additionally the position will be responsible for consistent and timely communications with briefers to ensure their presentation material is available for review by senior leadership prior to the meeting.  The systems integrator will take the lead on assigning dates for proposed agenda topics, managing actions, liens and scheduling for the meetings, as well as, compiling and maintaining correspondence, records, work products 9e.g., reports), website/SharePoint sites, processes, and policies. This position regularly interfaces with office level leadership and reports to the Chief.  Responsibilities include, but are not limited to the following:

  • Support the Franchise Exchange Meeting
  • Track, manage and schedule proposed topics
  • Create agendas and post to the website
  • Attend all meetings, arriving 30 minutes early to set up VTC and prepare presentations
  • Scribe meeting notes and capture actions and approvals
  • Update the meetings attendee spreadsheet
  • Prepare meeting summaries, send to the staff sponsor for review and upon approval to post to the website
  • Recommend updates and improvements to the website/SharePoint Pages
  • Provide updates and changes to Active Directory Groups for access to board SharePoint pages and meeting invitations
  • Other tasks as assigned:
  • Support the Chief
  • Manage the standards and best practices document
  • Assist with development and implementation of communications strategy
  • Facilitate information gathering and information sharing on technical challenges that may cross organizational boundaries
  • Document sponsor accomplishments for weekly highlights submission


  • Demonstrated experience with board/council management
  • Exceptional corporate communications expertise with desired experience writing to both broad project level and executive audiences
  • Demonstrated experience interacting with customers, external stakeholders and program managers in a highly matrixed environment. Experience engaging with internal and external stakeholders.
  • Demonstrated experience in use of Microsoft office and SharePoint
  • Proven ability to multi-task and work independently; self-starter
  • Strong interpersonal and empathy skills
  • Bachelor’s degree(or 5/+ equivalent experience) in a relevant field
  • Minimum of 10 years’ experience, plus supporting sponsor
